Admin v5.0: Draft the event, keep it live, and run the night
Events now save as you go, live edits stay up until you publish them, the night's numbers and check-in sit on the event itself, and you can sell season passes.
Highlights
- Start an event and walk away. It saves on its own and waits in My Drafts until you publish.
- Fix a live event without taking it down. Title, ticket, and RSVP edits stay up until you click Publish Changes. A new time or room still goes back to approvers.
- See how the night is doing without leaving the event. Attendance shows what sold, and you can check people in from your phone.
- Sell one pass for the whole season. A season pass covers a series, a group, or events you pick, and staff check it in at the door like a ticket.
New features
Events save as you go
You can start an event and get pulled away. Vega saves the title, the time, the place, and the tickets on its own, so closing the tab does not wipe the work. A draft stays off the calendar. Guests cannot find it, and nobody is asked to approve it until you publish. You can see the event the way your guests will before it ever hits the calendar.
Tickets & Registration, RSVPs, Appointments, and Sign-Ups can all be in place before that first publish. Privacy is a dropdown: Public, Private, or Confidential when your organization uses confidential events. Every event you start is under Events, then My Drafts. When it is ready, click Publish Event, or Submit Event Request if the room needs approval.
Update a live event without taking it down
A typo, a clearer description, a new ticket, or an RSVP change stays on the live event until you click Publish Changes. Discard puts the event back to what is published now. A new start or end time, marking the event all day, a new setup or teardown time, or a different room sends it back to approvers. Vega warns you first, and the event comes off public calendars until it is approved again.
Sent something out too early? Move to Draft unpublishes it, and only people who can edit it can see it until you publish again. A request that is waiting on approval is withdrawn. Pending means an approver needs to act. An event that does not need approval shows a yellow Draft badge instead.
Publish a whole series at once
A season can stay private until every date is ready. The series stays a draft, and only you can see it, until you publish. Publish Series puts every date on the calendar together. If a room was booked in the meantime, nothing goes out, and Vega tells you which room.
See what sold, and check people in from the event
Open the event. The Attendance tab shows Total Sold, Redeemed, Gross Revenue, and Net Revenue, plus the guest list. On a phone, you can search that list and check people in from the event.
Sell season passes
A season pass gets someone into more than one event for one price. Click Passes, then New pass, and add a series, a group, or individual events. Dates added to a series or group later are covered too, so there are no start and end dates to type.
Publish puts the pass on sale on your public page, on its own Passes tab and on every event it covers. Buyers see the price with fees before they pay. At the door, staff check the pass in like a ticket. Each pass shows Sold / issued, Check-ins, Gross, and Net, and lists its holders. Vega turns on season passes for each organization, so contact Support to get them. Learn how season passes work.
Improvements
- Access codes have a guided setup, and you can upload a file of codes instead of typing them in one by one. Ticketing is split into Tickets, Registrations, Access Codes, and Advanced Settings.
- The app uses the same Vega logo as the website, from the side menu to invitations, setup, and sign-in. Sign-in shows drifting clouds in light mode and a starry sky in dark mode.
