Shop Overview
What Vega Shop does, how to turn it on, the permissions and Stripe setup you need, how fees work, and what Shop doesn't support yet.
Shop lets you sell spirit wear, concessions and fundraiser merch from Vega. You build one catalog of products, then stock them in each place you sell from, like the school store, the snack shack or a merch table at the game.
Families can order ahead online and pick up in person. Your staff can also ring up sales at the box office, on the S700 card terminal, or in the Vega app.
How it fits together
- Shops are the places you sell from. Each shop has its own prices, stock and pickup instructions. See Set Up a Shop.
- Products live in one catalog for your organization. You create a product once and stock it in as many shops as you like. See Products and Stock.
- Selling online happens on your community page, on event pages, and on each shop’s own page. Shop items go in the same cart as tickets and passes. See Selling Online.
- Selling in person happens on the admin box office, the S700 terminal and the Vega app. All three use the same catalog and stock. See Selling in Person.
- Pickup uses an order number and a QR code. See Pickup.
- Orders, refunds and sales are on the Orders and Sales pages. See Orders and Refunds and Sales Reports.
Stock comes off a shop’s count when a sale is paid. Refunds can put it back.
Turn on Shop
Shop is a Vega Labs feature. Labs features are ready to use, and may change based on feedback.
To turn it on, you need the Manage Organization Settings permission.
- Go to Settings > Features.
- Find Shop under Vega Labs and click Try it.
- Check I understand this may change based on feedback.
- Click Turn on Shop.
Shop then shows in the side menu. You can turn it off again from the same page.
If Features or Shop isn’t listed for your organization, contact Support to ask about access.
Before you start
- Stripe, for card sales. Card payments, online and at the register, go to your organization’s connected Stripe account. See Connect Stripe to Vega.
- A card reader, for card sales at the admin box office. See Register a Card Reader. Without one, the admin box office can still take cash and comps.
- The right permissions. Set these per role. See Roles & Permissions.
| Permission | What it allows in Shop |
|---|---|
| Manage the shop | Set up shops, products and stock, see the Sales page, refund and void orders. |
| Sell Tickets In Person | Sell at the registers, find orders, mark orders ready, hand over orders at pickup, and resend receipts. |
| Issue refunds | Refund shop orders without full shop access. |
| Approve/Manage Requests | Everything Manage the shop allows. It is also the only permission that lets staff comp items at a register. |
A role with All Permissions can do everything.
How fees work
Buyers pay the price you set. Nothing is added on top.
- Card sales. Vega’s fee is a percentage that comes out of the price. Stripe’s processing fee also comes out of the price. You receive the rest.
- Cash, comp and free sales. No Vega fee.
When you edit a product, each price shows Est. your payout. Click Show fee breakdown to see Buyer pays, Vega fee, Est. Stripe fee and Est. your payout. The Stripe fee shown is an estimate for a card sale at online rates.
If you refund a card sale, the buyer gets back everything they paid. Vega’s fee is not returned to you.
What Shop doesn’t do yet
- Pickup only. There is no shipping or delivery, and no sales tax.
- One organization per cart. A buyer’s cart can hold shop items from one organization at a time.
- Promo codes don’t apply to shop items. They take money off tickets only.
- One variant choice per product. A product can have sizes or colors with their own stock, but not both.
- Card orders must total at least $0.50.
- Free tickets and free shop items can’t check out together in the same cart.
- No printed receipts. Receipts are sent by email.
